The 7-Point Emergency Replacement Checklist for Mitsubishi Electric Heat Pumps

If you've ever had a client call at 3 p.m. on a Friday because the Mitsubishi Electric heat pump in a retail space stopped heating, you know the feeling. You're not debating which model is best. You're asking: what do I actually need to verify before I commit to a deadline?

This is the checklist I run. I'm a project coordinator at a commercial HVAC company. I've handled 200+ rush orders in the last 12 years, including same-day turnarounds for medical offices and restaurant chains. In March 2024, a client called 36 hours before their grand opening after the old system went down. Missing that deadline would have triggered a $50,000 penalty clause. Use this when you're facing a heat pump replacement deadline, a new construction punch-list item, or a tenant improvement that's already late. It is not a sales pitch. It's basically a “don't make it worse” list.

Here are the seven things I check every time.

1. Confirm the exact Mitsubishi Electric product and current specs

I know it sounds obvious. But on a rush job, you'll be tempted to order “the same one.” With Mitsubishi Electric, that can be a trap. On a rush, a full load calculation feels like a luxury. It isn't. I use a simplified version that takes about 20 minutes if the building plans are available. No plans? Measure the conditioned space, glazing, and insulation levels. That's enough to catch a gross mismatch.

The bigger mistake is assuming the previous system was correct. In older buildings, the old unit might be oversized because the space use changed, or the building was insulated after an energy retrofit. The “same size works” concept comes from an era when buildings were leaky enough to hide oversizing. That's changed.

Checkpoint: Did you calculate the current load, or just copy the existing model? If you copied, note it as a risk.

4. Walk the installation path—not just the equipment pad

I'm not only talking about clearance around the outdoor unit, though that's part of it. I'm talking about the full path from the delivery truck to the installation point. Last spring, I had a heat pump replacement for a spa studio—a Hand and Stone location, if you're curious—that looked perfect on paper. The outdoor unit fit on the side of the building. The indoor unit fit in the mechanical room. But nobody checked that the corridor from the back alley had a 90-degree turn the compressor couldn't fit through. Checkpoint: Have you measured every door, hallway, and stairway from the curb to the final equipment position? Does the rigging plan still work if the path changes?

5. Clarify what the energy claims do and don't mean

If a salesperson tells you a Mitsubishi Electric system will “slash your energy bill by 60%,” ask for the data behind that number. Per FTC guidelines (ftc.gov), energy-saving and environmental claims need to be truthful, not misleading, and substantiated. That's not a gray area.

“Truthful and not misleading” is the standard. If a claim comes with no supporting data, it's a marketing statement, not a spec.

I get why clients want a simple “you'll save X.” Budgets are real. But the way I see it, a rush replacement is the wrong time to rely on an aggressive savings promise. You're making a 15-year equipment decision in a 48-hour window. The spec sheet and the load calc should do the talking.

Checkpoint: Is the proposed efficiency rating in the published spec, and does the contractor's warranty cover the installed labor?

6. Put the deadline, scope, and penalties in writing

Skipping paperwork is the most expensive shortcut in emergency work. I knew I should get written confirmation on a door and hardware order once, but thought “we've worked together for years.” That was the one time the verbal agreement got forgotten. The supplier sent the wrong doors, and the client asked why we didn't have a purchase order. Since then, our policy is: no written confirmation, no rush order.

Clients sometimes ask “how much does a door cost?” as if that's a single number. It isn't. A hollow metal door is different from a wood door, with different frames, hinges, and fire ratings. The same logic applies to heat pumps. You need a line item for equipment, delivery, labor, electrical, refrigerant, and disposal. And you need a clause that says what happens if the deadline is missed.

Checkpoint: Does the scope of work list the exact model numbers, the specific deadline, and the consequence of missing it?

7. Do the last-day walkthrough before the client does

This is honestly the step most people skip. When the installation is done at 11 p.m., everybody wants to go home. That's exactly why I block out 30 minutes for a walkthrough before the official inspection. I check the condensate drain slope, the insulation on the line set, the breaker size, and the thermostat wiring. Then I check the things everyone forgets: are there two filters? Did someone leave a tool inside the blower compartment? Is the remote control present? The remote one sounds small, but you'd be surprised how many remotes get lost on a rush job.

Our company lost a $37,000 contract in 2023 because we tried to save $180 on a second installer's final review. The first installer missed a bad brazed joint. The system failed during the client's own walkthrough. We paid $800 for emergency refrigerant work, but we lost the trust. That's when we implemented our “no sign-off until a second set of eyes validates the checklist” policy.

Three notes for anyone managing a hot list:

  • Don't skip documentation because it's an emergency. The more rushed the job, the more important the paper trail.
  • Don't let a “comparable” product become a silent downgrade. Educated clients make better decisions because they understand what the spec means.
  • If you're also replacing a water heater or adding finish materials like tile, include those in the same written scope. The same person who knows how much a door costs might not know whether the door opening requires steel studs. That's a separate call.

That's the list. It won't make the emergency fun, but it will keep you from walking into a situation that feels urgent and ends up costing you a penalty.
