It was a Tuesday in late February 2019—I remember because our CEO had just announced a 15% headcount growth target for the year. My boss, the VP of Operations, walked over to my desk. For the Mitsubishi Electric option, the quote was $22,500. But I could see every cost line. They quoted four days for installation. They confirmed delivery to the day. And the structural engineering? I hired one of their recommended engineers for $900, and the work was done in a week.
Bottom line: The Mitsubishi Electric quote ended up at $23,400 total—just $900 more than the cheap option, but with zero surprises.
The Risk I Weighed
The upside of going with the 'established' vendor B was peace of mind, at a high price. The risk of going with Vendor A was disruption. But with John from Mitsubishi Electric, I faced a different kind of hesitation: what if their honest-but-limited scope turned into problems later? What if the structural engineer they recommended wasn't available?
I kept asking myself: is saving $1,100 (compared to Vendor A's 'real' total) worth potentially having to manage two separate contractors? But then I realized—managing two contractors is something I did every day. What I couldn't do was manage a vendor who didn't keep promises.

The vendor who said 'this isn't our strength—here's who does it better' earned my trust for everything else. And that trust is worth far more than the cheapest quote on a single line item.
So when you're evaluating suppliers for your next project—whether it's HVAC, elevator maintenance, or even something smaller like clearing a clogged drain—ask the hard question: 'What don't you do well?' The ones who answer honestly are the ones who'll save you money, time, and headaches in the long run.
